1. Secretary
1. The Secretary is the official Head of the Department and is responsible for its efficient administration and discipline. He is also responsible for the proper conduct of Business allocated to the Department under the NWFP Government Rules of Business 1985 and for careful observance of these instructions in his Department;
2.Additional Secretary
3. Deputy Secretary
1.The duties and functions of Deputy Secretary shall be such as; may be assigned to him by the Secretary; and a Deputy Secretary may have normally three to six Sections under him;
2. He shall dispose of all cases of Sections/Branches in his charge in which no major question of policy is involved, or which, under the Rules or Standing Orders, he is competent to deal with at his level;
3.He shall inspect the working of the Section/Branches under his charge at least once every six months and also pay surprise visits al reasonable intervals. He shall pay special attention to:-
a). Compliance with the Rules of Business, the Secretariat instructions, Standing Orders and office directives;
b).General office management;
c). Proper use and care of Government property and equipment; and
d).Arrangements for the disposal of work by the Section/Branches in the temporary absence of its Section Officer / Superintendents.
4. Section Officers Food Department
The Official work is redistributed amongst the three sections of this Department as under:-

Section Officer Litigation
i. Establishment matters of both Secretariat and Directorate.
ii. General matters of the Department.
iii. Budget & Accounts matters etc.
iv. Developments issues
i. All wheat related matters.
ii.Matters pertaining to Cane Commissionrate.
iii. Insaf Food Security Food.
iv. Assembly Business
v. PAC/DAC matters
All courts matters
5. Private Secretary
The Private Secretaries to the Chief Secretary, Additional Chief Secretary, and Secretaries shall perform the following duties:-
1.to attend telephones and keep record of outstation calls;
2.to screen callers and telephone calls; to arrange engagements and maintain engagement dairy;
3.to collect papers for meetings and interviews ;
4. to see that matters requiring Secretary's attention are brought to his notice well in time complete and in proper form;
5. to receive and arrange and, where necessary, register the Secretary's papers and correspondence including secret and top secret papers;
6.to keep record of suspense cases and to see that such cases are put up to Secretary on due dates;
7.to keep reference books up to date;
8.to attend to work connected with Secretary's tour etc;
9.to assist the Secretary in such matters as he may direct;
10.to keep record of movement of files and other classified document.
11.to receive visitors and arrange interviews etc; and
12.to take dictation and make fair copies of draft and other papers of secret/confidential nature and also other communications with enclosures.
6. Superintendent
1. A Superintendent who normally holds charge of a Branch under the control of a Section Officer shall be responsible for ensuring that the work is conducted properly and that there is tidiness and discipline in his Branch;
2. The Superintendent of the Receipt and Issue Branch shall be personally responsible for the accurate sorting of Dak Section-wise, and shall further ensure that:-
a).the Receipt Clerk submits the receipts at least twice daily to the appropriate Section /Office along with dairy;
b).letters are dispatched on the date of receipt and office copies returned promptly to the Section/ Office concerned; and
c).that confidential/secret communications are treated in the manner prescribed in paragraph 67-76.
